Seoul is a strong host city for an AI or technology conference, and the most reliable way to succeed is to treat the program and the speaker line-up as the product, and the venue as a supporting decision. These lessons come from Seoul Meta Week, a conference co-hosted by TV Chosun and Chris & Partners every year since 2022 — grown from about 1,000 attendees at the Shilla Seoul to about 2,000 at the COEX Grand Ballroom in 2026.

Lesson 1: Move the theme before the market does

The conference started with metaverse and NFTs and moved to general technology, then AI strategy, then AI business. Events tied to a topic that has peaked shrink with it. If you plan to run a recurring conference in Seoul, review the theme every year and be willing to change it.

Lesson 2: Source speakers by relationship, not by list

Global speakers — 50 in 2024, 34 in 2026 — came from individual outreach. In Seoul this matters because Korean audiences expect recognizable international names, while international speakers need a credible reason to travel. A broadcaster or established co-host on the invitation changes the response rate.

Lesson 3: Let the venue follow the audience

The event moved from a hotel ballroom to a conference auditorium to the COEX Grand Ballroom only after attendance justified it. Booking a room for the audience you hope for, rather than the audience you have, is the most common way conferences lose money in year two.

Lesson 4: Plan for both languages from the start

Lesson 5: Design the hallway, not just the stage

A conference of a few thousand people is remembered for networking. Exhibition space, a reception, and clear routes between them matter as much as the session list. If you are bringing a booth, allow for customs timing and local fabrication.
